A healthcare marketing team needed automatic visibility into which patients had been approved for filming but had no efficient way to check the CRM manually. The existing CRM board held all patient records and approval status as the source of truth, but marketing could not easily surface only the approved-for-filming records. The approach

We built a two-board monday.com workflow architecture. The CRM board holds all patient records and approval status as the authoritative source of truth. The marketing board surfaces only approved-for-filming records using monday.com connected boards and mirror columns, creating a live synchronized view without duplicating data. Status-based automations move approved patients into the marketing workflow the moment their approval status changes, eliminating manual checking. The marketing board includes filming coordination fields, scheduling status, and content metadata that are specific to the production team's needs.
