The challenge

The contractor handles repair, maintenance and handyman work through HousecallPro, and every request looks different. A small repair might need two materials and one technician, while a kitchen or bathroom could need many materials, long labor hours and more than one worker. Estimating meant reading private office notes, reviewing site photos and videos, identifying materials, searching for current prices, deciding labor and calculating the final amount, and that sequence repeated for every job. The scope was often described in the private notes while supporting detail sat in the media, which created a real risk: a photo might show a damaged wall when the notes only asked for cabinet repair, and adding the wall would silently expand the estimate beyond what was approved. Material requirements could be missed or described differently by different staff, labor could be over or understated, and the same information had to be copied between HousecallPro, email and pricing websites. The estimate also varied depending on who prepared it.

The approach

The automation runs seven controlled steps. Job information is collected on an estimate request, gathering customer details, job notes, address, photos and videos, and the estimator is reminded to re-check if media is missing. Approved work is then understood by treating the private job notes as the scope of record and using photos and videos only to support that scope, which prevents unrelated visible damage from expanding the estimate. Current Home Depot prices are collected as a pricing reference. The estimate is prepared by combining approved work, materials, labor, travel and pricing, then sent to the administrator for review; revisions are regenerated while earlier feedback is retained so instructions are not lost or reversed. On approval the line items and detailed private notes save directly into HousecallPro. A technician recommendation is then prepared from the job details, and the administrator can approve, change or cancel it before the selected technician is notified. Every two days, qualifying overdue invoices are checked and customers with an email address receive a payment reminder. Failed image or video processing is routed to manual attention, and both estimate approval and technician selection stay under administrator control.
