Accounting Services Practice
A newsletter topic record is read from Google Sheets through either the scheduled route or the edit-request route, and a complete HTML newsletter is generated for the selected topic, target audience and business problem. Two AI-generated newsletter images are validated and uploaded to cloud storage, and the final HTML contains the hosted images along with branding, call to action, footer and unsubscribe link. A review email and an approval decision gate delivery, and the edit-request route regenerates the newsletter from new instructions rather than shipping a stale draft. An approved Sender.net campaign is delivered to the configured subscriber group and the related Google Sheets record is updated to Done. Three days afterwards, campaign totals for opens, clicks, unsubscribes and soft bounces are collected into a Monday.com campaign record with the title, results and reporting date. Telegram acts as a mobile capture tool, creating a Monday.com contact from a business-card image and updating an existing contact from a text note and location. Eligible contacts synchronize to Sender.net as subscribers on the monthly schedule, and a two-day review reminder fires when its webhook triggers.

The practice provides bookkeeping and financial services and needed to produce regular marketing newsletters, maintain a contact database and measure campaign performance, all across several separate systems with repeated manual steps. Each newsletter required a topic, a target audience and a main problem to solve, then suitable content, a subject line, an email-friendly HTML layout and the correct branding, footer, call to action and unsubscribe link. A professional newsletter also needs images: creating two suitable images, checking they generated correctly, uploading them to a public location and inserting them into the HTML added further work every time. The newsletter had to be reviewed before delivery, and if changes were requested the instructions had to be collected, applied and reviewed again. Without a controlled approval path, outdated drafts could be sent or requested changes could be missed entirely. After approval the final HTML, subject, sender details and subscriber group had to be transferred into an email-marketing platform, and manual campaign creation increased the chance of formatting mistakes and inconsistent branding. Campaign results then had to be collected and recorded somewhere the business could report on.
Eight steps cover newsletter creation, review, sending, reporting and contact management while approval stays mandatory before delivery. The process starts from the regular schedule or from an edit request, using the selected topic, audience and business problem. The newsletter content and two supporting images are created and placed into the final email design, and failed images are retried rather than shipped empty. The draft is sent for review, where it can be approved or returned with change instructions, and a revised version is prepared when needed. After approval the newsletter is sent to the selected subscriber group and the related Google Sheets record is marked Done. Three days later campaign results are collected, including opens, clicks, unsubscribes and soft bounces, and the totals are saved for reporting in Monday.com. Separately, a business-card photo can create a new contact and a text message can add notes and a location to an existing contact. Each month, contacts with valid email addresses are added to the newsletter subscriber group, and a separate two-day newsletter-review reminder fires when the reminder webhook is triggered.
